Why invoicing from WhatsApp usually creates duplicate work

Step 1: save or open the client profile

Step 2: create or assign the product or service

Subscription products can also use recurring billing presets such as monthly, quarterly, half-yearly, yearly or custom recurring.

Step 3: generate the invoice and review the math

Invoice generation uses quantity, unit price and the existing subtotal logic. The workflow can also include discount, paid amount and outstanding due. Review the invoice before saving or sharing it, especially after changing quantities or commission rules.

Commission calculation can be configured as percentage, fixed amount or per-unit where supported. The selected calculation is part of the product/business workflow, not a visual template setting.

Step 4: create the PDF and keep payment status connected to the client

The invoice PDF is the shareable document. Recording the payment state in the client workflow makes it possible to see invoiced, paid and due values without searching the conversation for old payment messages.

Use invoice templates for design, not for business math
