Why invoicing from WhatsApp usually creates duplicate work
Many small businesses discuss the order in WhatsApp, then open a separate spreadsheet or accounting template and retype the customer name, phone number, product, price and payment status. The duplicate entry is where mistakes start.
A client-connected invoice workflow reuses data you already saved in the extension. It is not a replacement for every accounting platform, but it can remove repetitive typing for straightforward customer billing.
Step 1: save or open the client profile
Start from the active WhatsApp conversation or a saved client. Confirm the client name and contact details before you invoice. If the phone number is not available, the invoice can still use the client identity you have saved; do not invent missing data.
Step 2: create or assign the product or service
The product catalog supports piece, KG, subscription, service, package, bandwidth, commission, hourly and daily work. Choose the type that matches how the item is billed. Subscription products can also use recurring billing presets such as monthly, quarterly, half-yearly, yearly or custom recurring.
Step 3: generate the invoice and review the math
Invoice generation uses quantity, unit price and the existing subtotal logic. The workflow can also include discount, paid amount and outstanding due. Review the invoice before saving or sharing it, especially after changing quantities or commission rules.
Commission calculation can be configured as percentage, fixed amount or per-unit where supported. The selected calculation is part of the product/business workflow, not a visual template setting.
Step 4: create the PDF and keep payment status connected to the client
The invoice PDF is the shareable document. Recording the payment state in the client workflow makes it possible to see invoiced, paid and due values without searching the conversation for old payment messages.
Use invoice templates for design, not for business math
The website provides 1,000 JSON invoice style add-ons across 250 niches. A template can change colors, font choices, table treatment and other presentation details. It does not contain client information and does not change quantities, discounts, payments or due calculations.
Template JSON files can be previewed and downloaded from the website. Importing custom template add-ons inside the extension is a Pro feature.
What “one-click invoice” should mean in practice
Once a client and products are already prepared, generating the invoice becomes a very short action. But a responsible workflow still requires you to review prices, quantities, discounts and payment amounts before using the PDF. One-click should reduce repeated data entry, not remove the final billing check.
The extension does not automatically send the invoice through WhatsApp
The current workflow generates and manages the invoice; it does not automatically send WhatsApp messages. You choose how and when to share the PDF with the client.
